
DAA Email Account Policy
Email Policy for David A. Dunlap Department of Astronomy & Astrophysics

General:
In 2021, DADDAA transitions from local only mail service to mostly University central mail system. This policy applies to the existing users as well as new users.
DADDAA maintains only a basic email service for special usage. All DADDAA appointed personnel is given their @astro email addresses, however, email to @astro addresses is forwarded to their corresponding @utoronto.ca addresses. The forwarding setup is at the system level without the control of the local users.
DADDAA Email Server:
The Department mail server is lepus.astro.utoronto.ca. The server serves three major functions. 1). it acts as a mail forwarding server from @astro.utoronto.ca to @utoronto.ca. 2). it handles local mailing lists which are maintained by local system admins. 3). it handles non-personal email accounts such as courses, projects, and events. The service of these addresses is delivered via imap, webmail or email client through direct login.
Department mail server does not store user’s mail.
UofT Email Service:
The UofT’s email service is provided by Microsoft 365 mail system. In order to have email set up, a user must first obtain his/her UTORid, then a UofT email address is issued. The email name convention is in general: first_name.last_name@utoronto.ca though exceptions are expected.
As soon as the UofT email address is issued, the user should pass the address to local admin for forwarding purpose.

DADDAA Email:
1). DADDAA email address for individuals in general takes the form of first_name.last_name@astro.utoronto.ca. However, legacy users may have different addresses.
2). Email to @astro.utoronto.ca is forwarded to corresponding address @utoronto.ca.
3). Forwarding to other alternative address (staff prohibited) may cause issues, including delay, loss of email etc.
4). Special mailing list @astro.utoronto.ca can be requested by individuals by contacting local system admins
5). Other than faculty members, @astro email accounts expires ONE year after the person leaves the Department. Upon departure, @astro email forwarding to a new preferred address can be arranged through local system admins.
